Community surveys and consultations privacy notice

This privacy notice is designed to help you understand how and why North Yorkshire Council processes your personal data. This notice should be read in conjunction with our corporate privacy notice.

Who are we?

North Yorkshire Council is a ‘data controller’ as defined by Article 4(7) of the UK General Data Protection Regulation (UK GDPR).

To better understand people’s views and/or to improve, monitor and develop existing and potential services or events, we may seek or request feedback, comments and information from residents, communities, businesses, and visitors in the form of surveys and statutory consultations.

What personal information do we collect?

The information collected from surveys will vary depending on the subject matter and information required, but we may collect and use the following personal information:

  • title, and name of participant
  • address
  • contact details (telephone number and email address)
  • age 
  • gender
  • any additional information required in response to the specific survey/consultation you participate in.

We may also collect certain categories of special category information:

  • demographic information e.g. disability and ethnicity. We collect this for equality monitoring purposes.

Why do we collect your personal information?

To help to improve services and community facilities, gain feedback, and better understand the thoughts and needs of people living, working and visiting the area.

Who do we obtain your information from?

Information is obtained directly from the participant completing the survey.

Who do we share this information with?

We do not share personal information outside of the Council, although summaries of responses may be collated, anonymised and shared.

A third-party software will be used to issue and collate survey responses.

How long do we keep your information for?

What is our lawful basis for processing your information?

North Yorkshire Council relies on the following lawful basis to process your personal data:

  • UK GDPR Article 6(1)(e) - processing is necessary for the performance of a task carried out in the public interest

When processing special category information for equality monitoring, the Council will rely on the following lawful basis:

UK GDPR Article 9(2)(g) - processing is necessary for reasons of substantial public interest with processing meeting Schedule 1, Part 2 of the Data Protection Act 2018 as below:
