Engagement community panel privacy notice

This privacy notice is designed to help you understand how and why the North Yorkshire views - engagement community processes your personal data. This notice should be read in conjunction with our corporate privacy notice.

Who are we?

North Yorkshire council is a ‘data controller’ as defined by Article 4(7) of the UK General Data Protection Regulation (UK GDPR). North Yorkshire views is North Yorkshire council’s engagement community, an online panel where members are invited to take part in surveys and occasionally other engagement activities such as polls, focus groups and user testing to give their feedback and opinions on a range of topics such as the council plan, satisfaction with services, volunteering and contacting the council.

What personal information do we collect?

Information on panel members will include:

  • name
  • email address
  • demographic information including postcode. This will include special category information such as ethnicity and health/disability status

Why do we collect your personal information?

We collect names and email addresses so that we can contact members to notify them of an opportunity to participate and to provide feedback of the outcomes of the activities. The demographic data is used to ensure we can understand differences in views of different groups of people.

We will only publish aggregated results.

Members can quit their membership at any time and members who have not completed surveys for a year will be deleted an email notification will be sent to the winner of any prize draw attached to a survey.

Consent will be sought to publish the names of prize winners if necessary.

Who do we share this information with?

Individual's information will not be shared with anyone other than those administrating the activities of the panel.

We may share anonymised information with partner organisations such as police, fire and health authority.

What is our lawful basis for processing your information?

  • Article 6(1)(e) – We process personal information as part of our public task
  • Article 9(2)(g) – We process special category information in line with substantial public interest. This is in line with our best value duty within section 3 of the local government act 1999 (as amended by s137 of the local government and public involvement in health act 2007)
