Household support fund privacy notice

This notice should be read in conjunction with our corporate privacy notice.

Who are we?

North Yorkshire Council is a ‘data controller’ as defined by Article 4(7) of the UK General Data Protection Regulation (UK GDPR). North Yorkshire Council has been allocated funding from the Department of Work and Pensions (DWP) to provide additional help to people who may be struggling and feeling the financial pressures of paying their bills over the winter. NYC and the district/borough councils are working together to identify households who are eligible to receive this funding.

Personal information we collect

In order to identify eligible households and distribute the allocated funding, we need to collect the following personal data:

  • name
  • address
  • date of birth 
  • eligibility assessment criteria (as defined by North Yorkshire Council's Revenues and Benefits team) 
  • national insurance number
  • contact details (email address, phone number)

Why we collect personal information

We collect your data for the following purposes:

  • to inform eligible households of the available funding
  • to validate claims for the funding
  • to allocate and distribute the funding
  • to provide management information to Department of Work and Pensions (DWP) on how the funding was allocated and spent

Sources of personal information

The Revenues and Benefits team at North Yorkshire Council will collate personal information of eligible residents. This is to enable the council to make contact with the identified residents to inform them of the allocated funding and how to claim their payment.

Sharing personal information 

Within North Yorkshire Council, data is shared with teams who are responsible for distributing the funding under the scheme:

  • Customer Services
  • Stronger Communities
  • Revenue and Benefits

Externally we share your data with:

  • Department of Work and Pensions (DWP) if required (to provide management information on use of the fund).

Where it is suspected that fraudulent activity has taken place, the law requires us to share this information with relevant parties in order to investigate whether a crime has been committed.

Keep and storing personal information

We only hold your personal data for as long as is necessary to carry out our duties with respect to this processing.

Data held: Customer details – eligibility assessment and payment of funds

Retention period: For as long as is necessary to assess eligibility, distribute the funding and resolve follow up queries (no later than 31 March 2025)
